New Hire FAQs

General Questions

  • Both of these questions can be answered by your hiring manager. Please give them a call or send them an email to check in on this. 

    Please note, you are not approved to report to your building/department until you have completed new hire processing with an HR representative.

Badges and Email

  • This is optional and entirely up to your own preference. You can either submit your own professional headshot for your badge photo or wait until new hire orientation. We have a professional camera and photo station for our new hires. 

    If you choose to submit your own photo, please email it to hr@4j.lane.edu

     

  • This will depend upon when you accepted your offer and your start date. 

    Your email will become available pending HR adding you to our HR/payroll information system. You need your employee ID to register with our email client and that number is generated after you are added. Your badge is created based on when you’ll need it. 

    If you are hired at the end of a school year and start in August with the new school year, most likely you will not have your email and badge until then. 

    If you are hired at the beginning or mid-way through a school year, you should recieve these within 3 – 5 business days. You may have a temporary badge issued to you while your personal badge is being created. 

  • Follow this guide to claim your 4J email. 

    Remember, you will not be able to activate your 4J email until you have completed new hire orientation and are entered into the HR/Payroll system by your HR representative. Once you receive your employee ID number, you will be able to activate your 4J email account.

Benefits

  • Employees

    If you are a classified, licensed, or MAPS employee and are working at least 0.5 FTE (20 hours per week) across all your assignments, you are benefits eligible. You can find your FTE listed on your offical job offer.


    Classified and Licensed Substitutes

    If you are a non-licensed substitute, you have access to sick time but not the full benefits package. 

    If you are a licensed substitute or guest teacher, your eligibility will depend on the hours you worked the previous school year. We recommend checking in with our benefits team for additional details. 

  • Your benefits begin on the 1st of the month following your start date. For example, if you start on August 29th, your benefits would begin on September 1st

Orientation, New Hire Paperwork, and Fingerprinting

  • Yes! If you need help printing out your packet, contact us at the HR/Finance Resource Center. You can either call at 541-790-7670 or email at hr@4j.lane.edu. We will prepare a copy for you to pickup at your convenience. Some new hires choose to come an hour or two early on orientation day to complete their packet. If you do this, please remember to bring your forms of ID to complete the I-9. We cannot verify your right to work in the U.S. without them. 

  • No, you must complete new hire orientation before your start date. This includes your new hire paperwork packet and the fingerprinting/background check process. 

  • Yes, you will need to complete the new hire process even if you have volunteered for us before. 

  • Welcome back! It depends on when your separation date with us was. If you left your previous position less than a year ago, you do not have to complete the new hire process again. If it’s been more than a year, we’ll see you at orientation! 

  • The answer is most likely yes, you’ll need to be fingerprinted. If you have been fingerprinted by any other agency besides the Oregon Department of Education (ODE), you will need to complete our process. However, if you have worked for another Oregon school district in the past and haven’t moved out of state since then, you are covered and can skip the process.  

Paychecks and Sick/Vacation Time

  • No, Eugene 4J cannot negotiate pay with individuals. All of our salary schedules are negotiated and agreed upon with the unions that represent our employees, and are re-negotiated every few years. 

  • Our pay periods are monthly: the 16th of the month through the 15th of the following month, to be paid on the last business day of the month. 

    As an example, the pay period of April 16th through May 15th would be paid on the last day of May, the 31st.

  • Employee Online is our one-stop-shop platform for viewing your personal information like paystubs, W2s, leave info, and benefits. You can also submit changes to your personal information for approval, such as your address, phone number, emergency contacts, and direct deposit accounts. 

  • We heavily recommend reviewing your paycheck every month, but especially the first paycheck you recieve to ensure accuracy.

  • FTE stands for “Full Time Equivalent”. It is essentially a math ratio of the hours you work compared to what a full-time employee would work. 

    For example, if you are a full-time employee that works 8 hours a day, your FTE would be 1. If you are an employee that works 6.5 hours a day, your FTE would be 0.8125. If you are an employee that works 4 hours a day, your FTE would be 0.5. 

  •  Any time you need to use access or use your sick time, you will need to submit a request on Frontline Absence Management. This is how we manage all our time off and deploy substitutes to the jobs that need coverage. 

    How much time off you receive is dependent upon your employee type. You can ask your supervisor/manager for details or reference our New Hire Benefits page.
