What Do You Need to Do Now That Gmail is Live?
📧 Where are my emails?
Some of your newest emails will already be in Gmail. The rest of your email is still being moved and will continue transferring into Gmail over the rest of the summer. Until all emails are migrated over, you can view your older emails in the Zimbra Archive. Shared accounts are still transferring emails, but all Calendar events should be done transferring.
📧 How do I login to my new 4J Gmail?
- You can click here to login to your new Gmail or to visit the Zimbra email archive..
- This link is also found on the 4J Website under For Staff – Staff Email Login.
- After you click the link, you’ll want to bookmark it.
- Multi-factor authentication wlll be required as usual.
🔧 What You'll Need to Rebuild
- Folders will transfer with your emails, but Zimbra settings and preferences won't carry over.
- To get started:
- Set up your new email signature in Gmail.
- Set up filters in Gmail
- Set up Out of Office in Gmail if needed.
- Configure your calendar settings and shared access in Google Calendar.
- Visit the Training Hub on the Migration Website for more tutorials and videos to help you set up your new Gmail and Google Calendars exactly how you want them.
📂 Shared Service Accounts Access
- If you had access to shared 4J service accounts (like
information@4j.lane.edu
,4Jcalendar@4j.lane.edu
, orpurchasing@4j.lane.edu
) in Zimbra, don’t worry—these have been moved into Gmail and Google Calendar. - You’ll get an email letting you know when your access is ready.
- Once access is ready, here are step-by-step instructions on how to view and access your shared email service accounts and calendars.
👥 Shared Access with Individuals
If you had access to a co-worker’s email or calendar—or they had access to yours—you’ll need to set that up again in Gmail and Google Calendar.

💬 Get Support
- Your best resource is the Migration website, where you’ll find help guides, how-tos, and FAQs.
- If you have a more complex question, email 4jdesktop@4j.lane.edu. While summer staffing is in effect, most Helpdesk calls will go to voicemail.
📱 How to Check Email
- Use your mobile device (details on the website)
- Log into Gmail via a web browser.
- Or use the Email links on the 4J website.
🚨 After Migration Begins, Don’t Forget:
- Out of Office messages from Zimbra won’t work anymore. Set up your new Out of Office message in Gmail.
- Some Zimbra settings will need to be rebuilt in Gmail and Google Calendar.
💡 Reminder: Spend some time exploring Gmail and Google Calendar and comparing them to your previous set up in Zimbra until you feel comfortable using them. The Migration website is your go-to resource for info, instructions, and updates.
