Additional Tasks for Category 2 Students
As a Category 2 placement, you may access 4J student data and learning management systems. To protect the safety and security of our technology infrastructure, the district will provide all Category 2 placements with a 4J email, ID badge, and laptop to use exclusively during their placement. Category 1 placements do not receive these items.
You are required by 4J policy and Oregon state law to use your District-provided technology and login information for all platforms and devices. You may never use your host teacher’s login information. This is a vital protection for our legal compliance regarding protected information safety.
If you are moving from a Category 1 to a Category 2 placement, you must submit another University Student Placement Application that provides all information required for 4J system access.

Your 4J email will be created for you. The creation of this account will prompt an email to your university email address with instructions for claiming your 4J email account. You will not receive an additional email if you are a current staff member. If you are a former district employee, please email HR Student Teachers and let us know so we can send you directions to reactivate your 4J account.
This process is not automatic and can take up to a week to receive. Plan ahead to give yourself plenty of time!

Your badge must be worn at all times while inside your building.
This process is not automatic and can take up to a week to receive. If your badge still does not arrive in time for your placement, follow the sign-in instructions for Category 1 students as a volunteer and wear your paper badge in place of your 4J badge.
To request your 4J badge, send an email to 4J Badges with the following information:
- Subject Line: “University Student Placement Badge Request”
- Body:
- Legal first and last name
- The last 4 digits of your social security number
- 4J ID number – this can be located in your welcome email
- Your position title: “University Student Placement”
- Send Badge to: [write in your primary 4J building]
- A headshot photo attached for your badge picture
- Please ensure this headshot is a professional photo that is smaller than 355 KB (364,211 bytes).
- You can search the internet for “professional headshot examples” and have a friend snap the photo for you!
Remember, your completed badge will be sent to the school/building you listed in your email!

Technology Device Pickup Requirements for Laptops and Other Equipment
Before you are able to pick up your district-issued device, two steps must be completed:
1. Activate Your 4J Email Account
- You will receive your 4J email activation information in your Welcome Email.
- Be sure to check your university email for this message and follow the instructions provided to activate your account
2.Submit a Synergy Access Request
- To access Synergy, you and your cooperating teacher must meet with the building secretary or registrar to complete and sign the Synergy Account Application Form.
- Once your Synergy account has been created, a notification email will be sent to your 4J email address. This message will also include the secretary/registrar and cooperating 4J teacher listed on your application.

This must be completed before requesting access to SeeSaw, Clever, or Canvas.

To access Synergy, the student and cooperating teacher(s) must meet with the building secretary/registrar to complete and sign the Synergy application.

Once the Synergy account has been created, a notification email will be sent to the student teacher at their 4J email address. The email will prompt the student teacher to log in for the first time.

SeeSaw and Clever are the platforms used by our elementary school staff. Canvas is used by secondary school staff.
- To request access to SeeSaw and Clever, the student teacher and cooperating teacher host must contact the building secretary/registrar. It is best to request access to these platforms within the same meeting establishing Synergy access.
- Canvas access will be automatically generated alongside the Synergy account creation for secondary school placements. The student teacher will receive a confirmation email to their 4J account with additional login instructions.
